A formal invitation represents your organisation before the guest arrives. Here is wording you can use, and what to check before sending.

What a formal invitation includes

  • The inviting organisation, by its official name.
  • The occasion: a ceremony, conference, opening or award.
  • The patron, if there is one, with the correct title.
  • The day, date and time, and arrival time if it differs.
  • The venue with a map link, and parking if needed.
  • How to confirm attendance, and by when.
  • That the invitation is personal, and entry is by invitation pass if that applies.

Before sending

  • Check titles and names with whoever signs off; a mistake there can't be fixed by a follow-up message.
  • Send each guest their own invitation by name, since the entry pass is personal.
  • Decide who scans at each gate, and test scanning before the day.
  • Send a reminder before the event with the location and arrival time.
